Privacy Policy

This policy explains what personal information we collect, why we collect it, and what we do with it. It applies to ironpassdigital.com and to calgaryhvacleads.com, both operated by Rayne Holdings Group Inc. ("IronPassDigital", "we", "us"). We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), Alberta's Personal Information Protection Act (PIPA), and Canada's Anti-Spam Legislation (CASL).

1. Who this policy covers

Contractors and businesses who contact us about our services, and homeowners who submit a request through one of our lead-generation websites or text conversations.

2. What we collect

• From businesses: name, business name, email address, phone number, service areas, and whatever you choose to tell us in a form, email or call.
• From homeowners: name, phone number, email address, the area of the city you are in, property type, the service you are asking about, your description of the problem, and how urgent it is.
• Automatically: IP address, browser and device type, pages visited, and the ad or link that brought you here, through cookies and similar technologies including Meta (Facebook) and Google analytics and advertising tools.
• Call and message records: if you call or text a tracking number we operate, we log the number, time and duration. Calls are not recorded unless we tell you at the time.

3. Why we collect it, and your consent

Homeowner information is collected for one purpose: to pass your service request to a licensed HVAC contractor who can help you. By submitting a request you consent to us sharing that information with one contractor in your area, and to that contractor contacting you by phone, text or email about your request. Business information is used to respond to your enquiry and to provide the services you ask for.

We send commercial email and text messages only to people who have given consent, and every message includes a way to stop. Reply STOP to any text message, use the unsubscribe link in any email, or write to [email protected]. We act on requests promptly.

4. Who we share it with

• One contractor per request for homeowner leads. We do not sell the same request to several contractors.
• Service providers who operate our tools: our CRM and messaging platform (HighLevel), telecom providers for calls and texts, email delivery, hosting and analytics. Some of these store data outside Canada, including in the United States, where local law may allow access by authorities.
• Nobody else. We do not sell, rent or trade personal information to data brokers, list vendors or advertisers.

5. How long we keep it

Homeowner lead records are kept for up to 24 months so we can resolve disputes about a lead and meet our record-keeping obligations. Business contact records are kept while we are in contact and for up to 7 years after, as our accounting records require. You can ask us to delete your information sooner and we will unless we are legally required to keep it.

6. Security

Information is held in access-controlled accounts with reputable providers, protected by strong authentication. No system is perfect; if a breach creates a real risk of significant harm we will notify affected people and the Privacy Commissioner as the law requires.

7. Your rights

You may ask us what personal information we hold about you, ask for a correction, withdraw your consent, or ask us to delete it. Email [email protected] and we will respond within 30 days. If you are not satisfied, you may complain to the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner of Alberta.

8. Cookies

You can block or delete cookies in your browser settings. Blocking them may break parts of the site. We do not use cookies to identify you personally beyond the advertising and analytics purposes described above.

9. Children

Our services are for adults. We do not knowingly collect information from anyone under 18.

10. Changes

If we change this policy we will update the date at the top. Material changes affecting how we use information already collected will be notified by email where we hold your address.
